IT, support and administration
Documents
Central storage of internal documents — folders and files in one environment with a shared file manager. The module allows you to create folders, subfolders and files, manage versions, manage add and delete permissions and hold author and time metadata.
Context
The Documents module is part of the internal company portal that we designed, developed and deployed for a client from the it, support and administration area. The portal consolidates dozens of corporate agendas into one environment with unified login, roles and auditable history — and the Documents module is a key part of it.
Challenge
Internal documents lived on an unstructured network drive, versioning did not exist, and access rights were set at the file system level — incomprehensible and unauditable. Searching for the document took minutes.
How we delivered
We built a central repository of internal documents on top of a shared file manager — the same one used by the project part of the portal.
Structure: user opens a folder, creates folders, subfolders and uploads files. Everything in one place instead of scattered network drives.
Versions and Metadata: Each document has a version history, properties and metadata about the author and upload time.
Permissions: access is controlled by roles and teams — only authorized persons can add and delete. The module has no formal approval, the file is simply active or inactive.
A day in the life: the admin uploads the new directive to the correct folder, the team downloads it, and the old version is deleted according to permissions.
Client benefits
Documents are in one place, searchable and accessible by role. Versioning prevented work on an outdated document. Access rights are transparent and auditable
a requirement of both ISO 27001 and GDPR.

Operations and further development
We designed the module with future development in mind — the modular architecture allows adding new fields, reports or integrations without interfering with the existing core. Clean code, documentation, and separate configuration files ensure that the system can be developed by another team — without depending on one person who knows "how it works."
For this type of solution, datatek, spol. s r. o. also provides long-term operational support, monitoring and SLA — so the client is sure that the system works even after years.
