Business, projects and contracts
Business cases
Pre-project business pipeline for tenders and business cases with multi-country logic. The module manages the entire cycle from the establishment of the case, through rounds of bids and attachments, to the result (win/lose/cancelled) and smooth handover to project implementation.
Context
The Business cases module is part of an internal company portal that we designed, developed and deployed for a client from the area of business, projects and contracts. The portal consolidates dozens of corporate agendas into one environment with unified login, roles and auditable history — and the Business Cases module is a key part of it.
Challenge
The pre-project pipeline was inconsistent: part of the data was in CRM, part in files, and part in the heads of traders. There was a lack of record-keeping of bid rounds, ownership roles, and consistent states from request to result. The management could not reliably evaluate the quality of the pipeline or the readiness of cases to be handed over for implementation.
How we delivered
We built the Business Cases module as a pre-project pipeline for tenders and business cases.
Life cycle of the case: from establishment through ownership roles (trader, accountant), notes and attachments to submitted bids in individual rounds.
State Model for Business: Requested, Current, Long Term, Unsubmitted, Submitted, Win, Lose, 1st Place, Canceled.
Checks: the system guards mandatory fields, dates, attachments and consistency of the round process without unnecessary internal approval chain.
Link to implementation: when submitted, the business case is folded into the project record so that there is no informational noise between business and implementation.
Outputs: pipeline exports (Excel) and bulk imports and migrations (CSV) for managing a larger portfolio.
Client benefits
Business management sees the current pipeline by states, owners and countries without manual consolidation.
The record of bidding rounds and attachments increases the quality of handover to the implementation team.
Win-loss data shows at what stages and why the firm is losing cases.
The link to the project module shortens the time between winning the tender and the start of implementation.
Excel exports and CSV imports support the management of a large volume of business cases.
Step-by-step workflow
Establishing a business case with an investor, contact and basic parameters
Defining owner roles (trader, accountant, responsible persons)
Continuous addition of notes, attachments and data to individual rounds of the offer
Records of submitted bids and results within the round process
Closing the case with the result (win, loss, canceled, order) and handing it over to the project
Export pipeline reports for management and controlling

Operations and further development
We designed the module with future development in mind — the modular architecture allows adding new fields, reports or integrations without interfering with the existing core. Clean code, documentation, and separate configuration files ensure that the system can be developed by another team — without depending on one person who knows "how it works."
For this type of solution, datatek, spol. s r. o. also provides long-term operational support, monitoring and SLA — so the client is sure that the system works even after years.
